Data Retention

We retain your data for as long as your account is active. Call recordings are retained based on your plan (7-45 days), with options for extended retention. You can request deletion of your data at any time.

Where are my call recordings stored?

Call recordings and transcripts are stored in Google Cloud Platform data centers located in Toronto, Canada. This means your customer data stays within Canadian borders for storage and retrieval.

Can my staff access call data from other businesses?

No. Polaris Voice uses PostgreSQL Row-Level Security to enforce strict tenant isolation. Each business account can only access its own data. This is enforced at the database level, not just the application level, providing defense-in-depth protection.

Does Polaris Voice use my calls to train AI?

Never. Your call recordings, transcripts, and business data are never used to train any AI or machine learning models. Your conversations are processed solely to provide the receptionist service and are stored only for your review.

What happens to my data if I cancel my account?

When you cancel, all your data — including call recordings, transcripts, and business information — is permanently deleted within 30 days. We retain only what is legally required for financial record-keeping purposes.

Is Polaris Voice compliant with PIPEDA?

Yes. Polaris Voice is fully compliant with the Personal Information Protection and Electronic Documents Act. This includes proper consent collection, transparent data handling practices, and the ability for individuals to access or delete their personal information on request.
